Administrative & Business Operations Assistant

Position Summary

The HR & Business Operations Administrative Assistant will provide administrative and operational support across FYR Bio’s human resources and broader business operations functions. Responsibilities include supporting recruiting and onboarding, scheduling and meeting coordination, document control, project coordination, records and tracker maintenance, and other recurring administrative needs that keep company operations organized and moving forward.

The successful candidate will have experience working with Rippling or a comparable HRIS platform, strong organizational and communication skills, excellent attention to detail, and the ability to work independently with appropriate discretion when handling confidential information. This position will report directly to the Head of Business Operations. Work priorities will be established by the Head of Business Operations based on company needs, and the position will work closely with managers and employees throughout the organization.

Key Responsibilities

  • Support the day-to-day administration of FYR Bio’s human resources and broader business operations activities.
  • Maintain accurate and organized employee records, HR documentation, business records, and administrative files.
  • Assist with employee onboarding, offboarding, and changes in employment status.
  • Administer and maintain employee information and HR workflows within Rippling.
  • Assist with the distribution, tracking, and maintenance of company policies and other employee documentation.
  • Support benefits, payroll, leave, time-off, and other HR administrative processes as needed.
  • Assist employees and managers with routine HR-related questions and requests.
  • Provide general administrative support to the Head of Business Operations, including scheduling, meeting coordination, correspondence, follow-up activities, and maintenance of shared calendars and trackers.
  • Support document-control activities, including formatting, routing, tracking, organizing, and maintaining current versions of company documents and records.
  • Assist with project coordination by maintaining action-item lists, monitoring deadlines, organizing materials, and following up on assigned deliverables.
  • Help maintain organized shared files, administrative systems, checklists, and recurring business operations activities.
  • Support general office administration and other day-to-day operational needs.
  • Maintain confidentiality and appropriately handle sensitive employee and company information.
  • Assist the Head of Business Operations with additional projects and administrative priorities as company needs evolve.

Recruiting & Hiring

  • Support recruiting activities for positions across all departments of FYR Bio.
  • Assist managers with preparing and posting job openings on appropriate job boards and recruiting platforms.
  • Coordinate applicant tracking and maintain accurate candidate records.
  • Conduct initial resume and application screening when requested.
  • Coordinate interviews between candidates, hiring managers, and interview teams.
  • Communicate professionally and promptly with candidates throughout the recruiting process.
  • Assist with reference checks, background-check coordination, offer documentation, and other pre-employment activities.
  • Coordinate onboarding activities for newly hired employees.
  • Help maintain a consistent, organized, and positive candidate experience throughout the hiring process.

Required Qualifications

  • Previous experience in human resources administration, recruiting coordination, office administration, or a related role.
  • Working knowledge of Rippling HR software or significant experience with a comparable HRIS platform.
  • Strong proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and related applications.
  • Strong organizational and time-management skills with demonstrated attention to detail.
  • Ability to prioritize multiple responsibilities and meet deadlines with limited supervision.
  • Demonstrated ability to work independently, identify issues, and follow tasks through to completion.
  • Strong written and verbal communication skills.
  • Professional judgment and discretion when handling confidential or sensitive information.
  • Comfortable working in a growing organization where responsibilities and priorities may evolve.

Preferred Qualifications

  • Previous experience supporting recruiting and hiring processes.
  • Experience working in a biotechnology, life sciences, healthcare, technology, or other growing organization.
  • Familiarity with HR documentation, employee records management, benefits administration, and employment-related compliance requirements.
  • Experience supporting onboarding and offboarding workflows through an HRIS.
  • Experience working in a small-company or startup environment.
